# Bulk Document Import

# 📂 **Bulk Document Import**  
> **"Upload smarter, not harder."**  
> *Easily import large sets of documents, assets, or risks without manual work.*

## 1️⃣ Why Use Bulk Import?  
Sometimes you need to upload a **large set of documents** from your local folder structure, or import **assets, risks, or other items** that would take too long to create manually.  

The **“Create documents/assets in bulk”** option in the folder management menu lets you: upload many files in one go.

## 2️⃣ Upload Options

1. Upload **Zip**/**Excel file** submenu.

This is the first screen you'll see where you can decide on "Excel document" upload to create multiple items from excel lines or "Zip upload" to import a whole local folder structure

2. Upload an **Excel document** with multiple items to be created inside the current folder (e.g. excel with risks, assets, non-conformities, vulnerabilities, ...).

You can use the template from step 4 in the screenshot. After the upload you will go to step 5.

3. Upload a **ZIP file** (please use standard zip)

This can be used to import a whole local folder hierarchy with documents. During import they will be uploaded with the same folder structure inside the current folder. It will maintain the original creation dates from the imported files.

4. Here you can download the Excel template structure to be used in step 2 (see [video](#2-7-tutorial-importing-multiple-risks) at the bottom of the page for a more advanced risk import example)
 
The Excel template has two tabs:  

**First tab:** Content to be imported (each row will create a new document).  

*    Must use exact `"DocumentType"` names from the second tab.  
*    Extra columns can map to:  
     1) Variables in document templates  
     2) Measures for risk readings


**Second tab:** Lists all available document types you can use under "DocumentType".

📌 *Starting from the template avoids validation issues later.*  

5. After uploading your Excel in step 2, you have to **map Excel column names** to Brainframe’s expected values.

💡 \*\*Tip: \*\*If no unique identifier is filled it, it will be ignored

6. Auto-fill **document template variables** directly from Excel values by mapping them to Brainframe variables.

💡 **Tip:** By checking the checkbox, you can also assign this same values to document properties.

 
7. Configure how risks should be imported:  

1) Enable a **risk reading** on imported documents for a specific risk type.  
2) Enable a **remaining work configuration** for imported risks.  
3) Map **measure values** from Excel columns.  
4) Enable the **Target checkbox** to also map target values from Excel for initial risk readings.

*📌 Always try to start from our templates, and don't leave any "empty" lines at the end of the first tab to avoid errors during validation* 

8. Validate your import.  
 
| Tip: Always review the process carefully to avoid partial or failed imports.
