Classify documents with attributes like Owner, Risk type, or Classification.


Document properties are the backbone of document management in Brainframe. They allow you to group, filter, and search based on attributes, making compliance workflows faster and more consistent.



1️⃣ Creating and Editing Document Properties


You can manage document properties from the Workspace settings menu.



When adding a new property, you’ll be prompted to configure:



  1. Property title – The name of the property.
  2. Description – Explains the property’s purpose.
  3. Type of property:
  • Free text → Any value can be entered.
  • Single select → Dropdown with one selectable option (e.g., Type of non-conformity).
  • Multi select → Dropdown allowing multiple options (e.g., Risk origin).
  • Link to document → Connects the property to specific document types (e.g., Owner linked to Employee, Consultant, or Role/Responsibilities).


📌 Brainframe provides default properties already linked to common document types. You can override these by creating your own with the same name and adjusting mandatory/optional settings.



2️⃣ Examples in Practice



  1. Example of a required property: Data Subject must be selected for this document type.
  2. Example of a linked property: Owner can point to 3 different document types (Employee, Consultant, Role/Responsibilities).


💡 When typing in such fields, Brainframe will:

  • Suggest matching existing documents.
  • Allow you to quickly create a new linked document if none exists.


📌 When a document template is configured with variables, they will automatically be filled in when it is selected in step 2


You can modify properties anytime in the Properties tab of any document using the EDIT button.



3️⃣ Use properties as filters


📌 In the inventory overview menu, you can use these properties to quickly filter through your documents based on their properties




4️⃣ Best Practices


  • 🏷️ Keep property names short and clear (e.g., Owner instead of Responsible Party for Document).
  • 🔄 Use linked properties where possible to maintain consistency.
  • 🚨 Mark critical properties as mandatory (e.g., Owner, Classification).
  • Leverage properties in templates to auto-fill repetitive data.
