📂 Folder Content

"Your central view of everything in a folder."
See, filter, and act on all documents—risks, policies, assets, and more.



1️⃣ Folder Content Overview

The Folder Content section displays all documents in the selected folder, such as:

  • Assets
  • Risks
  • Policies
  • Procedures
  • Non-conformities
  • Meeting notes


📌 Each document is displayed with quick filters, type indicators, and visual markers for age and approval stage.




📂 Folder Content Actions


Here’s what each element in the Folder Content view means:


  1. Column Configuration – Choose which columns to show (icon, title, modified date, created date, created by, starred items, archived/attached documents).
  2. Document Type Filter – Quickly filter documents by their type in the current folder.
  3. Search – Instantly find a specific document in the folder.
  4. Document Type Icon – Shows the icon in the color of its type category.

📌 Hover over the icon to see the full document type name.

  1. Document Name & Age – Shows the document title and, if enabled, an age indicator in front.
  2. Actions Menu (three dots) – Opens the document-specific menu with options to:

① Ask AI questions about the document.

② Link the document to other documents.

③ Add/open a diagram view (e.g., attach a process flow to a Word file). Learn more about our Diagram editor.

Link or move the document to another folder.

Archive the document.

Star the document.

⑦ Add to:

⑧ Perform an Objective Tracker (KPI) reading.

⑨ Perform a Risk reading on the selected document.

  1. Age Tracker – Hover to see exact age and status. (Configuration of thresholds and colors is explained in Document Types & Templates).
  2. Approval Status Colors – The background color of each row shows its workflow status:
  • ⚪ White – No approval workflow.
  • 🟠 Light Orange – Document not fully approved.
  • 🟢 Green – Document fully approved.


📌 Documents in bold (like the two CAPA filenames in the example) are part of a process management workflow and included in a checklist.



2️⃣ Best Practices

  • 📌 Use filters and search to keep large folders manageable.
  • 💡 Regularly check age indicators to ensure documents stay up to date. ance.
  • ✅ Bold items indicate workflow integration—review these first during audits.
