Document Reminders

"Never miss a review or follow-up."
Stay on top of deadlines with one-time or recurring reminders.

Document reminders let you notify yourself or other Brainframe users about a specific document on a chosen date. You can also configure recurring reminders (e.g., for periodic supplier reviews).

1️⃣ Open the Reminder Tab

Start by navigating to the Reminder tab of the document.

① Select Users to Notify

Choose one or more workspace users who should receive the reminder.

② Configure When the Reminder is Sent

You can choose from different scheduling options:

  • Selected date below → Send on a specific date.
  • Send immediately → Trigger the reminder right away.
  • 1, 3, 6, or 12 months from today → Predefined quick options.
  • Recurring reminder → Set a daily, monthly, or yearly cycle.

③ Set the Reminder Date

Define the exact date of the first reminder.

④ Optional – Create a Task Automatically

Enable the checkbox to automatically create a task in the task manager for the selected users.

📌 If no workbench checklist planning is configured, the next reminder date will appear as the deadline in the Workbench view.

2️⃣ Best Practices

  • 🔄 Use recurring reminders for supplier reviews, audits, or policy updates.
  • 🚨 Notify more than one user to avoid single points of failure.
  • 📅 Align reminders with compliance deadlines to stay audit-ready.
  • 📝 Pair reminders with automatic tasks for accountability tracking.
