Manage folders, views, permissions, and notes—all in one place.
The Folder Management section in Brainframe allows you to create, manage, and customize folders and their contents. Add notes, configure views, set permissions, and decide how folder content is displayed.
① Folder Name & Views
- Folders group documents and subfolders (e.g., A.10.1 Cryptographic controls).
- Folder Views provide an additional optional organizational layer, allowing you to further structure your documents (e.g., 27001).
- Add Views: click the ➕ icon to create a new view.
- Switch Views: hover over the folder view name to switch instantly. Folder content updates automatically.
② Edit Folder
Editing a folder lets you:
- Rename the folder or view
- Change the status color
- Configure permissions
- Set default document properties
Possible folder statuses are pre-configured with the following, but can be customized to match your workflows:
③ Folder Notes
- Add a free text description to explain the folder’s purpose.
- Notes are visible to all users with folder access.
- Convert to Note (7): instantly turn the text into a document in the same folder.
④ Folder Content Refresh
- Refreshes the current folder and subfolder hierarchy without reloading the entire page.
- Handy when collaborating with multiple users or after bulk imports.
⑤ Folder Content Columns
Configure which columns are visible in the folder content table. Options include:
⑥ Additional Folder Options
From the folder management menu, you can:
- (Sub) Folder Recent Changes – See who changed what.
- (Sub) Folder Statistics – Open the inventory overview.
- Link or Move Folder – Reorganize or duplicate structure, explained in more details in Linking and moving folders.
- Create Documents/Assets in Bulk – quickly create multiple items at once (see Bulk Document Import).
- Remove Current View from Folder – Deletes the view.
- If the folder isn’t linked elsewhere, its contents will also be deleted.
- Removing the last view deletes the folder entirely.
2️⃣ Best Practices
- 🔄 Refresh regularly after updates to keep your view accurate.
- 🚨 Double-check before deleting views—removing the last one deletes the folder.
- 📝 Use notes for context so everyone understands the folder’s purpose.
- 📊 Check statistics often to keep track of folder activity and content.
- 🗂️ Use views for frameworks (e.g., ISO, NIST) to keep documents organized.
