Track actions linked to documents and processes with full visibility.
Brainframe lets you manage tasks across documents, assets, and processes, so nothing slips through the cracks.
1️⃣ Document Tasks
You can create and track tasks directly from any document (e.g., meeting notes, policies, procedures).

- Click Create task in Brainframe.
- Or link the document to an existing task in external tools (Asana, Jira, Monday.com, Azure DevOps).
When creating a new task:

- Assign Brainframe user(s).
- Choose a task category (General tasks by default).
- Set a planning period (start and deadline).
- Define the Kanban stage (e.g. todo, doing, done).
- Add a task description with detailed instructions.
Once created, tasks appear in the document view:

2️⃣ Framework & Maturity Requirement Tasks
Tasks can also be assigned to requirements inside your Framework / Maturity Mapping (Statement of Applicability).

This ensures compliance actions are tracked and managed within the framework view.
3️⃣ Work Overview
From the Workbench → Tasks Overview, you can see all open tasks.

- In the first table document status overview, you can pick any document type, like procedures/policies in the example above, and directly see the tasks remaining per person. This is particularly useful for document approval workflows. When you click on the number in a cell, it will open a list of the corresponding tasks.
- In the second table work status overview, you can see how many documents are in each of the kanban stages. The matrix will automatically reflect the status of a document, so if you created your custom statuses, the matrix will take them into account by default.
- Search specific tasks by name.
- View tasks grouped by assignee, deadline, completion status.
- Export your tasks to an PDF to share externally.
- Generate iCal links to synchronize your task list with your personal calendar.
- Add tasks or Kanban flows for grouping and workflows.
- View all tasks based on the category they are assigned to.
📌 Notes & Tips
- 📌 If you select text in the standard editor and click Add task, it will become a link to the task.
- 📌 Copying text before clicking Add task will automatically use that text as the task title.
ℹ️ Info:
- In the Tasks menu, you’ll only see tasks created by you or assigned to you (admins can see all).
- At document level, you’ll see all linked tasks if you have READ permission on the folder.
- You can configure these when you click on the settings button on the top right, or in the workspace settings.

4️⃣ Best Practices
- 📋 Always assign a category so tasks can be grouped in Workbench.
- 🛠 Use Kanban workflows for clarity on progress.
- 👥 Assign users explicitly to avoid unclear responsibilities.
- 📊 Export tasks to PDF for auditor or external reporting.
- 📅 Sync tasks to your calendar for better personal tracking.
