Easily request, track, and store compliance evidence in the right place.
1️⃣ Why Use Upload Requests?
Collecting compliance evidence for audits often means chasing colleagues or suppliers across emails, calls, and chat tools.
📌 Brainframe simplifies this by letting you send document upload requests directly from the target folder:
- Requests can be sent to any contact with an email address.
- Uploads are saved in the right folder automatically.
- You are notified when uploads are completed or if follow-up is needed.
2️⃣ Creating an Upload Request
From the desired folder, select Request upload of file.
Fill out the form:
- Name of the recipient
- Email of the uploader – Address where the request is sent.
- Description – Instructions included in the invite (e.g., “Please upload the signed NDA”).
- Recurring reminder – Enable if evidence is needed periodically, with configurable frequency.
- Add attachment (optional) – Include a supporting file (e.g., a template to complete).
3️⃣ Request Evidence Tracking
When created, Brainframe automatically generates an Upload Request document in the same folder, allowing you to track your requests.
- The upload request itself.
- Attachments are saved and linked to the request.
- Metadata information of the request.
- Link you can copy and send to another contact outside of brainframe again if needed.
- Comments & Activity logs who was notified and when. For recurring requests, all individual activity will be recorded here.
4️⃣ Request Email & Upload Page
Recipients receive an email with:
- Your description.
- Any attached files.
- A secure upload link.
When clicked, the link opens a secure upload page where files can be dropped or selected.
5️⃣ Confirmation of Upload
Once the upload is complete:
- Both the requester and uploader receive a confirmation email.
- A link to the uploaded file is included.
- The Upload Request document is automatically linked to the evidence in the same folder.
6️⃣ Best Practices
- 📌 Use recurring requests for periodic evidence (e.g., quarterly access reviews).
- 💡 Always include a clear description to reduce back-and-forth.
- 🔍 Use Comments & Activity to prove when and who provided evidence.
- ✅ Archive completed requests to keep your folders clean.
